What happens when an XLSX becomes a PDF
An .xlsx file is a zipped set of XML parts describing cells, formulas, styles and sheet order. It is built for editing, not for handing over: whoever opens it can retype a figure, and the page breaks they see depend on their own setup. A PDF freezes the grid as drawn pages, which is why finance teams, auditors and clients ask for one.
On MiConvert the workbook is uploaded to our servers and rendered by Syncfusion XlsIO, a .NET spreadsheet engine, not by Excel. Before rendering, we override the page setup of every sheet: the paper becomes A4 and the columns are scaled to fit exactly one page across, with as many pages down as the rows need. That is deliberate, because the most common complaint about spreadsheet PDFs is columns breaking onto an orphan page on the right. If that engine cannot open the file, the job is retried with LibreOffice 25.8 in our Gotenberg container, which keeps the file's own paper size and scaling instead and can split a wide sheet across several pages.
Kept in the PDF: the cell text as displayed, so calculated results appear and the underlying formulas do not; the visible sheets in workbook order, each starting a new page; and one PDF bookmark per sheet name so you can jump between them in a reader. Lost or changed: the paper size and print scaling you set in Excel, since we replace them with A4 and fit-to-width; hidden sheets, which are skipped entirely; cell comments and notes, which no engine prints; and font embedding, because the main engine references fonts such as Arimo by name rather than embedding them, so a reader without a close match will substitute a look-alike.
This page suits people finalizing one workbook at a time: a quote, a rate card, a monthly report, a class list. If you need the numbers back as plain data rather than as pages, use the XLSX to CSV route instead.
How to convert XLSX to PDF
- Open the workbook in Excel, LibreOffice or Google Sheets first and delete the scratch sheets you do not want in the PDF, or hide them: hidden sheets are left out of the output.
- Check that the file is not password-protected. An encrypted workbook is rejected with a message asking you to remove the password, because we do not decrypt files.
- Drop the .xlsx onto this page. Files up to 50 MB work without an account, 100 MB with a free one, and you can queue up to 10 files in one request.
- Start the conversion and leave the tab open. A workbook of a few megabytes usually finishes in under a minute; large multi-sheet files with many rows take longer.
- Download the PDF and check the first and last page of each sheet. If the text is too small for print, reduce the column count or column widths in Excel and convert again.

Questions people ask about XLSX to PDF
Are all the sheets converted, or only the first one?
Every visible sheet is converted, one after another, and each one starts on a new PDF page with its own bookmark. Sheets you have hidden in Excel are skipped, so if a sheet is missing from the PDF, unhide it in the workbook and convert again.
Can I convert the XLSX to PDF in one page?
Partly. Each sheet is fitted to one page wide, which solves the usual problem of columns spilling onto an extra page, but the rows are not compressed, so a long sheet still runs over several pages. To get a single page, trim the rows or set a print area in Excel before uploading.
Is there a landscape option?
There is no landscape switch on this page. The main engine replaces the workbook's paper size with A4 and scales all columns to one page width; how an explicitly landscape sheet is handled is not something we can guarantee, so check the first page of the output. If orientation and margins must be exact, use File then Print to PDF in Excel or LibreOffice, where you keep full control.
Will I lose formatting?
The grid, cell values, borders and alignment come across, but three things change: paper size and print scaling are replaced by our A4 fit-to-width setup, fonts are referenced rather than embedded so an exact typeface match is not guaranteed, and cell comments are not printed. The output is not PDF/A and not a tagged, accessibility-ready PDF.
The conversion failed with "output file not found". What now?
That is the rare case where neither engine produced a PDF, usually from a workbook with an unusual or partly broken structure. Open it in Excel or LibreOffice, write a clean copy with Save As and upload that; a plain retry also helps when the failure came from server load.
Why is my .xlsm or .csv file refused?
Macro-enabled workbooks (.xlsm) are not accepted at upload, and neither is .xlsb. Save the macro workbook as a plain .xlsx first. CSV files are handled by the separate CSV to PDF page, where they are rendered as a table instead of being treated as a workbook.
Can I do this without uploading, or in bulk with a script?
Not without uploading: the conversion runs on our servers, not in your browser, so the file is transferred over HTTPS and rendered there. You can queue up to 10 files in one request (25 on Plus, 50 on Pro). For offline work, LibreOffice's command line does the same job on your own machine; this page is for one-off and small-batch cases.
What happens to my spreadsheet afterwards?
The uploaded .xlsx is deleted as soon as the job finishes. The PDF stays available on an unguessable download link for about four hours, then it is deleted automatically. File names, sizes and outcomes are kept in our logs, and signed-in accounts keep a conversion history row, so avoid putting sensitive details in the file name.
